 1. In order to make a change to the design, the person who is proposing the change will send an Engineering Change Request (ECR) to the leader of the team (for example, Takahashi-san in the case of Type-A). In stead of submitting a formal ECR document, this request can be a discussion over email or verbal discussion.
 1. The team leader evaluates the ECR and decide whether this needs to be discussed with the entire VIS group (big changes) or can be approved by each team (small changes). If the ECR is small, the team leader can approve it. If not, the leader should request Aso to discuss the issue at the VIS meeting.
 1. Once the ECR is approved, the person proposing the change should prepare an Engineering Change Order (ECO) document to describe the change.
 1. ECO should be uploaded to the JGWDoc with E number.
 1. ECO should also be put in the ECO folder of the Dropbox.
 1. A summary of the ECO should also be put on the Wiki page of the change log for each suspensions to make it easier to browse the past changes.

Agenda/Minutes of the VIS Meeting on 2017/1/6

2017/1/6 13:30 -

Participants: Takahashi, Okutomi, Ishizaki, Hirata, Sato, Aso, Mark, Fabian, Shoda, Enzo, Akutsu

Progress report

Schedule Chart : the broken file on the project server was fixed. To be updated soon.

Type-A (Takahashi)

  • Minutes of Type-A Meeting

  • Transportation: The second transportation for EQ stop parts and tools is scheduled in 10-11th from Mitaka to Kamioka by Kamoshida, on 12th to Y-end by Kamioka-kogyo, and on 13th to 2F by MESCO.
  • EYV chamber: The top chamber was connected on 20th in December. Two cross tubes were assembled too. The piston system was modified, so cone bellows were not necessary. We started pump down the EYV system on 21st in December.
  • Pre-isolator: The assembly of two pre-isolators for SR were almost finished in ATC. The boxes are necessary for packing.
  • EQ stop, release sensor, dummy payload: Delivered parts were checked on 21st and 22nd in December.
  • BF damper: The production is on going.
  • Maraging wire: The production is on going.
  • Tooling for installation: The fiber scope was ordered. The items were packed on 4th to ship.

Type B (Mark)

  • Discussion
    • The bottom filter check will be done using the same ATC clean room as the BFRM test assembly for Type-Bp. We need to arrange the work schedule.
  • Activity report for weeks of 12/26 and 1/2
    • Hirata-san:
      • Modified parts list and screw list for payload.
      • Sent lists to i-ject and asked for preliminary quotes.
      • Made drawings for some jigs (PR hold-down jig) and some parts for payload (PR/SR wire clamps with disposable jaw pieces - improved version with disposable pieces in both primary and secondary clamps).
      • For Type Bp:
        • Searched for PR gluing jigs.
        • Washed and assembled recoilmass base for mirror hanging jigs, and sent them to Kamioka.
        • Washed additional masses for IM and sent them to Kamioka.
      • For others:
        • Washed IMMT plate and sent them to Kamioka.
    • Fabian
      • Designed a pull down system to fix the PR IM to the EQ stop (similar to the SR one).
      • Worked on design of the SR assembly frame. As hoped, the SR version can be almost identical to the BS version.
      • Worked on design of additional trim mass (≈18 kg) for the BS BF.
      • Checked assembly PR/SR drawings. There were a few corrections/changes.
      • Checked fastener list. There were few corrections/changes.
      • Checked component list for the manufacture order. There were few corrections/changes.
      • Helped in searching for the PR gluing jigs.
    • Mark
      • Started design of SR assembly frame (but then passed it to Fabian).
      • Worked on task lists and schedule.
  • Plan for 1/10-13
    • Mark and Fabian at Kamioka (Enzo not available):
      • Finish rebalance of IM
      • Reinstall IRM, adjust OSEMs
      • Replace broken Type 3 cable.
      • Do TFs from IRM OSEMs to IRM and IM OSEMs.
      • Cable up and test BF LVDT and fishing rod (time permitting).
      • Disconnect BF and ship back to Mitaka (time permitting).
    • Hirata-san:
      • More SR procurement.

Type-Bp (Shoda)

  • Mirror gluing jig was found in TAMA experiment room.
  • Shoda made PR inventory file and gathered some information.

    • Parts for the first set is ready except for the new parts. Some of the 2nd set should be checked, especially screws, IRM, and EQ stops. Also I found that some of the 3rd and 4th IM parts are missing.
  • Asking a cost estimate for flag base modification and additional 1 set. Then we will have 6 sets of flag assemblies and 1 set for test hanging without grooves. now waiting for a reply.
  • Next week task. Goal: Hang the spare mirror

    • Glue the flags and wire breakers on the mirror (Tue.)
    • Inventory update (Tue. & Wed.)

    • Start mirror hanging (Wed.-Fri.)
  • To do

    • Check the number of screws and parts we need, not only for PR3 but also for all the suspensions.
    • Inventory update
    • Establish the payload disassembly procedure.
    • Buy gluing tools for KAGRA use.

IMMT (Ohishi)

  • Put a report here

Watchdog system (Tanaka)

  • Put a report here

Safety

  • Incidents:
  • Foreseen risks
    • Type-A: none
    • Type-B: none
    • Type-Bp: Mirror hanging. Will have two experts. Use an updated jigs.

Discussion

Smaller coils/magnet bases (Aso)

  • Aso will work on this. The target date for delivery including baking is the middle of May.

How to track design changes ?

  • We will implement the following design management system
  • The latest design files (CAD models, 2D drawings) will be put in the KAGRA Dropbox.
    • The directory structure will be something like this
    • Dropbox/Subsytems/VIS/Type-A/Latest/
      • Latest/ containts CAD/ 2D/ ECO/ directories.
    • CAD/ folder contains the latest CAD models
    • 2D/ folder contains the latest 2D drawings
    • ECO/ folder contains the Engineering Change Order documents
  • In order to make a change to the design, the person who is proposing the change will send an Engineering Change Request (ECR) to the leader of the team (for example, Takahashi-san in the case of Type-A). In stead of submitting a formal ECR document, this request can be a discussion over email or verbal discussion.
  • The team leader evaluates the ECR and decide whether this needs to be discussed with the entire VIS group (big changes) or can be approved by each team (small changes). If the ECR is small, the team leader can approve it. If not, the leader should request Aso to discuss the issue at the VIS meeting.
